I’m interested in renting a conference room, but I have a few questions first…

How can I book a meeting room? |

The five conference areas within our suite, including our three conference rooms and two day offices, can be booked either through our conference room scheduling system, or by contacting one of our staff members by phone or e-mail. Suites 280 and 290 on the second floor of our building can only be booked by calling or e-mailing one of our staff members. When making your reservation, simply let us know the date and time of your reservation request, along with how many people will be in your meeting and any requests for A/V equipment and catering.

I will need a computer projector and catering for a meeting. Can The Boardroom at Cherry Creek accommodate my needs? |

Yes. The Boardroom at Cherry Creek can provide you audiovisual equipment and catering for any of your meetings. Available audiovisual equipment includes, TV, VCR, DVD player, overhead projector, laptop computer, and LCD computer projector. We are also able to cater your meetings in any manner that you like, ranging from a simple coffee and water set-up for you and your clients on up to specialized meals and complete catering for larger events.

I might need to print up a document during my meeting. What do I do? |

We can accommodate your printing needs in two different ways. The first way that we can assist you is through our network printers/copy machines. These machine are able to print black and white prints from any computer that is connected to the internet, provided that the print drivers are installed on the computer. To equip your computer with the print drivers for our network printer, please contact one of our staff members and we will be happy to perform this task for you. The second method by which we can print documents for you is by printing them on our personal printers. These printers can accommodate both black & white and color prints. To print to these machines, either e-mail your documents to one of our staff members or bring us a jump drive, CD-ROM, or floppy disk with the necessary documents.

I might need to make copies of a couple of documents during my meeting. What do I do? |

If you just need a couple of copies made, our staff will be happy to assist you. Simply ask our receptionist, administrative assistant or office manager to make the necessary copies for you. If you need to make multiple copies, or if you plan on returning to The Boardroom for multiple meetings, we can program an access code into our copiers that is specific to your company. That way, you can make copies at your convenience and we will simply bill you for them later on.

Can someone sit-in on the meeting and take notes for me? What about transcription services? |

Our administrative staff can handle both of these requests for you. Our administrative services are available on an hourly basis and the total cost for our services is dependent upon how time intensive the task is. For tape transcription services, we typically estimate that it will take us 3 to 4 hours to transcribe each hour of taped speech.

How can I pay for my meeting room time? |

For individuals who just use our conference rooms on an hourly basis and have no on-going monthly affiliation with our center, we ask that you pay for your conference room time at the end of each meeting. We can accept cash, check, Visa or MasterCard as payment. For individuals who do have an on-going virtual office or full-time office plan with us, any charges for conference room time will simply be added to your monthly bill.

Will the receptionist greet my clients? |

Yes. Our staff will greet your clients as they enter the suite. To facilitate this process, we do ask that our clients keep us informed of when they are expecting visitors. This helps us greet everyone in a knowledgeable and professional manner.

Can I be reached during my meeting? |
| |
Yes. It is our normal practice to call you in the conference room when your guests arrive. If you are expecting a conference call or have any other special instructions for us, please notify our front desk staff when you arrive at our offices.
